The public website is for information and adult-led administrative inquiries. It is not a child account system, clinical intake portal, or emergency-reporting system.

INFORMATION WE ASK FOR
Keep public inquiries minimal.
When enabled, forms request adult contact information and broad program, role, facility, or partnership interests. A family form can ask an age band, but not a child’s full name or date of birth. No uploads, diagnosis, medication lists, insurance numbers, custody files, or detailed safety disclosures are requested.
Website administrators with the designated inquiry-management permission can review stored administrative messages. Notification emails are designed to contain an inquiry reference and dashboard link, not the full message.
DATA HANDLING
Storage, retention, and requests.
The configured website retention period is 90 days since the last administrative update, unless an approved retention hold applies. Expiration is processed by a scheduled WordPress task; timing depends on that task running successfully. The organization must approve the period and separately manage backups and email retention.
Requests to access, correct, or delete information can be directed through the verified contact channel. Identity and authority may need to be checked. WordPress personal-data export and erasure tools are supported for matching administrative inquiry email addresses; lawful holds may prevent erasure.
The hosting provider and administrators may also maintain access logs, backups, security records, and email records. Deleting a website inquiry does not automatically delete every hosting backup or email copy. These systems require their own approved retention arrangements.
COOKIES & THIRD PARTIES
This package adds no advertising trackers.
The supplied theme and toolkit do not add advertising pixels, analytics cookies, embedded social feeds, remote fonts, or behavioral advertising. WordPress authentication, host services, security tools, later plugins, or external links may have separate practices. Configuration changes require this notice to be reviewed.
Forms use anti-spam controls, including temporary keyed network-address hashes and a transient form cookie. The actual IP address is not stored in the inquiry record by this toolkit. Other server logs may still contain it.
CHILDREN & MEDIA
No public profiles or direct messaging.
Younger youth should use the site with a parent or caregiver. No public youth accounts, rosters, profiles, direct messages, or media uploads are provided. The mascot gallery contains illustrative artwork, not participant records.
This notice must be checked against actual hosting, plugins, monitoring, consent, legal obligations, and organizational practices before public collection opens. No blanket HIPAA or COPPA compliance claim is made.
