APPOINTMENT STANDARD

A title is not a coverage plan.

Each function requires an assignee, backup, supervisor, schedule, readiness evidence, and appointment decision. Multiple titles may be combined only when qualifications, workload, conflicts, actual coverage, and backup needs are addressed.

Drivers cannot count as onsite supervision while driving. Food-service staff do not count as youth supervisors unless separately approved. A safety lead handling an incident cannot leave a group without coverage.

Executive Sponsor / Governing Authority Liaison

Purpose

Provide the legal, financial, organizational, and risk authority required for B.U.Y. to operate without confusing enthusiasm with authorization.

Minimum qualifications / readiness

  • Formal authority from the governing organization
  • Understanding of nonprofit governance, youth risk, contracts, budgets, and public claims
  • Conflict-of-interest disclosure

Core duties

  • Approve program launch, pauses, expansion, budget, insurance, major contracts, and unresolved risk
  • Confirm who holds final authority among partner organizations
  • Review serious incidents, systemic corrective action, and executive accountability
  • Ensure public claims match verified legal and operating status

Program Director

Purpose

Translate the program design into a staffed, scheduled, safe, measurable Monday–Friday operation.

Minimum qualifications / readiness

  • Youth-program leadership experience
  • Staff supervision and program operations competence
  • Youth-protection, mandatory-reporting, incident, and documentation training
  • Background and exclusion clearance

Core duties

  • Own program calendar, enrollment capacity, staffing plan, assignments, budget, partner coordination, and daily go/no-go decisions
  • Lead staff huddles, supervision, quality review, corrective action, and family escalation
  • Confirm each day’s site, food, transport, ratios, activities, safety, and release readiness
  • Stop or modify programming when a critical gate is unresolved

Site & Shift Lead

Purpose

Command the 3:00–8:00 PM site so every transition, room, adult, youth, meal, route, and unresolved concern has an owner.

Minimum qualifications / readiness

  • Youth-program operations experience
  • Strong real-time judgment and communication
  • Youth protection, de-escalation, incident, first aid/CPR/AED awareness, and safe-release training

Core duties

  • Run opening huddle and verify staffing, ratios, rooms, supplies, emergency readiness, and transportation status
  • Coordinate arrival, homework, groups, dinner, choice studio, breaks, pickup, and site closeout
  • Maintain live roster and staff assignment board
  • Coordinate coverage during incidents without leaving other youth unsupervised

Youth Safety & Operations Officer

Purpose

Protect youth by controlling adult access, incident response, mandatory reporting, facility safety, transportation, authorized release, and program-pause decisions.

Minimum qualifications / readiness

  • Advanced youth-protection and mandatory-reporting competence
  • Incident-command and objective-documentation skill
  • Background/exclusion clearance
  • Ability to remove adults or pause activities without retaliation

Core duties

  • Verify active adult clearance and role-based access
  • Lead critical incident stabilization, notifications, external reporting, documentation, restrictions, and follow-up
  • Audit observable interactions, communication, bathrooms/changing areas, transportation, injuries, food, and release
  • Maintain safety training, incident trends, corrective actions, and unresolved-risk register

Game Plan Academy Lead (Ages 5–12)

Purpose

Lead The Game Plan Academy for ages 5–12 through developmentally responsive basketball, non-contact boxing, track and movement, flag football, play, visuals, concrete language, co-regulation, repetition, and family reinforcement.

Minimum qualifications / readiness

  • Experience with elementary-age youth
  • Group facilitation and behavior-support competence
  • Curriculum, youth-protection, incident, documentation, and developmental-adaptation training

Core duties

  • Plan and lead The Game Plan Academy and coordinate age-band facilitators and sport instructors
  • Adapt sport and BRAVE lessons for ages 5–7, 8–10, and 11–12 without losing the intended capacity
  • Coordinate the weekly basketball, non-contact boxing, track/movement, flag-football, and Friday integration rotation
  • Confirm that every sport block has a qualified lead, cleared second adult, age-appropriate practice plan, equipment inspection, emergency controls, and pause/repair capacity
  • Coordinate homework, sport, dinner, choice, and release transitions
  • Document attendance, participation, strengths, concerns, family communication, sport-fit review, and next steps

The B.U.Y.-In Program Track Lead

Purpose

Lead an adolescent program that takes youth voice, identity, healing, relationships, school, work, money, leadership, joy, and community action seriously.

Minimum qualifications / readiness

  • Experience facilitating adolescents and sensitive dialogue
  • Ability to share power while maintaining non-negotiable safety boundaries
  • Curriculum, youth-led circle, youth-protection, incident, documentation, and referral-boundary training

Core duties

  • Plan and lead the B.U.Y.-In group and youth leadership roles
  • Prepare authorized Detroit Heals Detroit or other curriculum content with proper attribution and fidelity
  • Guide discussion without coercing disclosure or treating the circle as therapy
  • Develop capstone, leadership, service, portfolio, school, career, and next-step evidence

Youth Development Specialist / Assistant Facilitator

Purpose

Provide reliable second-adult coverage and hands-on support across arrival, homework, group, recreation, dinner, documentation, and release.

Minimum qualifications / readiness

  • Youth work experience or supervised training pathway
  • Background/exclusion clearance
  • Youth protection, mandatory reporting, de-escalation, incident, privacy, and documentation training

Core duties

  • Maintain observable coverage and assigned ratio
  • Support facilitation, homework, movement, transitions, meals, and safe release
  • Use objective language and escalate concerns immediately
  • Coach skills, repair, and participation without humiliation or clinical overreach

Academic Support Coordinator / Tutor

Purpose

Make the 3:30–4:15 PM Homework & Academic Lab a disciplined completion system rather than supervised procrastination with pencils nearby.

Minimum qualifications / readiness

  • Tutoring, teaching, youth development, or academic-support experience
  • Ability to support multiple grade levels without misrepresenting credentials
  • Youth protection and privacy training

Core duties

  • Create quiet zones, task lists, reading supports, device procedures, and help-seeking routines
  • Track assignment start, completion, barriers, and next owner
  • Coordinate approved school/caregiver communication
  • Teach planning, organization, task breakdown, persistence, and responsible technology use

Sports & Recreation Coordinator

Purpose

Coordinate basketball, non-contact boxing, track and movement, and flag football as safe practice laboratories for skill, teamwork, regulation, persistence, health, leadership, and joy.

Minimum qualifications / readiness

  • Sport/activity competence
  • Youth coaching experience
  • Required concussion, sudden-cardiac-arrest, injury, hydration, heat, equipment, and emergency training
  • Background/exclusion clearance

Core duties

  • Maintain the four-track Game Plan Academy sport calendar and verify that each activity has a qualified sport lead and cleared second adult
  • Develop or approve age-appropriate basketball, non-contact boxing, track/movement, and flag-football practice plans
  • Inspect space and equipment and establish sport- and site-specific emergency action plans
  • Enforce no-sparring/no-youth-striking boxing, no-tackle/no-collision football, body-image safeguards in track, and clinical/AAU separation in basketball
  • Use correction without humiliation, forced exercise, water restriction, or hazing
  • Document attendance, injuries, parent notification, removal, clearance, return-to-play, equipment issues, and corrective action

Game Plan Elite Basketball Lead

Purpose

Lead age-responsive basketball practice as a laboratory for decision-making, coachability, teamwork, spacing, role acceptance, communication, and mistake recovery.

Minimum qualifications / readiness

  • Demonstrated basketball instruction and elementary-youth coaching competence
  • Background/exclusion clearance and youth-protection training
  • CPR/First Aid/AED plan plus concussion, sudden-cardiac-arrest, injury, hydration, equipment, and emergency training
  • Ability to coach without humiliation, punitive exercise, hazing, or unsafe contact

Core duties

  • Create practice plans for ages 5–7, 8–10, and 11–12
  • Teach dribbling, passing, footwork, finishing, spacing, defense, role rotation, and safe small-sided play
  • Use next-play reset, assist challenge, role acceptance, respectful disagreement, and repair language
  • Inspect court, hoops, balls, footwear, hydration, first aid, AED access, and emergency route before use
  • Stop activity for injury, suspected concussion, fainting, chest pain, severe shortness of breath, or other medical concern
  • Keep developmental/AAU/competitive and any treatment-connected lanes separate by schedule, consent, records, funding, supervision, and public claims

The Corner Non-Contact Boxing Lead

Purpose

Lead a non-contact boxing and conditioning track that teaches controlled power, distance, breath, body awareness, restraint, rhythm, respect, and stop-start control.

Minimum qualifications / readiness

  • Demonstrated boxing/fitness instruction competence with children
  • Background/exclusion clearance and youth-protection training
  • CPR/First Aid/AED plan plus concussion, cardiac, injury, equipment, sanitation, and emergency training
  • Competence in no-contact progression and de-escalation without physical power contests

Core duties

  • Teach stance, guard, footwork, breath, shadowboxing, approved bag/target work, conditioning, and visible coach-held mitt work when age-appropriate and approved
  • Enforce no sparring, no youth-to-youth striking, no head contact, no punishment rounds, and no unsupervised equipment access
  • Practice immediate bell/stop-cue response, gloves-down reset, safe distance, corner coaching, and return criteria
  • Inspect and sanitize gloves, wraps, bags, targets, mitts, floor, spacing, visibility, hydration, first aid, AED access, and emergency route
  • Stop activity and activate approved safety support when a youth redirects aggression, cannot follow stop cues, shuts down, or presents medical risk
  • Document equipment, participation, modifications, incidents, family communication, and return decisions

The Lane Track & Movement Lead

Purpose

Lead running and movement practice that teaches readiness, pacing, persistence, measurable progress, body awareness, trust, recovery, and healthy self-comparison.

Minimum qualifications / readiness

  • Demonstrated track, running, agility, or youth movement instruction competence
  • Background/exclusion clearance and youth-protection training
  • CPR/First Aid/AED plan plus heat, hydration, weather, cardiac, injury, footwear, and emergency training
  • Ability to use non-shaming progress measures and developmentally appropriate modifications

Core duties

  • Teach starts, lane awareness, running mechanics, acceleration/deceleration, pacing, relays, low barriers, agility, and personal-progress practice by age band
  • Offer untimed, privately timed, effort-rated, staff-recorded, or observation options when fit, anxiety, safety, or development requires them
  • Prohibit body shaming, weight-loss framing, public humiliation, mocking, punishment conditioning, or food/body leverage
  • Inspect surface, holes, weather, heat, lightning, visibility, footwear, obstacles, hydration, first aid, AED access, and emergency route
  • Stop activity for pain, dizziness, fainting, chest pain, severe shortness of breath, heat illness, injury, or other medical concern
  • Document participation, modifications, progress evidence, incidents, family communication, and return decisions

The Formation Flag Football Lead

Purpose

Lead flag and non-contact football practice that teaches huddle listening, role clarity, planning, communication, controlled pursuit, assignment responsibility, and leadership.

Minimum qualifications / readiness

  • Demonstrated flag-football/football instruction and elementary-youth coaching competence
  • Background/exclusion clearance and youth-protection training
  • CPR/First Aid/AED plan plus concussion, cardiac, heat, weather, injury, equipment, and emergency training
  • Ability to teach controlled pursuit and role discipline without collision culture

Core duties

  • Teach huddle behavior, ball security, passing, catching, handoffs, route spacing, flag-pull mechanics, coverage, position rotation, whistle discipline, and small-sided play
  • Enforce flag/non-contact rules: no tackling, collision drills, blocking contact, head-contact drills, hazing, retaliation, or injury-glorifying culture
  • Use false starts, penalties, route completion, timeouts, and role assignments as coached accountability moments
  • Inspect field/gym, holes, obstacles, weather, heat/lightning, flags, balls, cones, footwear, hydration, first aid, AED access, and emergency route

Coalition of Dads / Mentor Coordinator

Purpose

Turn “dad energy” into screened, trained, supervised, observable, documented, family-reinforcing mentorship.

  • Strong boundaries and family-reinforcement orientation
  • Youth protection, mandatory reporting, communication, clinical-boundary, and documentation competence

Core duties

  • Recruit, interview, screen, train, approve, assign, observe, supervise, restrict, suspend, or remove mentors
  • Coordinate Dad Talk and Coalition Table activities
  • Ensure no private messages, off-site meetings, unapproved transport, grooming, favoritism, or clinical counseling
  • Audit mentor contacts, incidents, family communication, and supervision

Family Engagement & Enrollment Coordinator

Purpose

Move families from interest through confirmed placement, orientation, communication, participation, grievance, and transition without losing ownership between steps.

  • Strong documentation, communication, cultural responsiveness, and privacy practice
  • Youth-protection and grievance training

Core duties

  • Manage interest, eligibility, waitlist, enrollment, consent, orientation, first-day bridge, and 7/14-day fit review
  • Verify custody/legal authority, contacts, medical/allergy/food, transportation, pickup, media, rights, and grievance information
  • Coordinate monthly progress contact, family activities, advisory input, accommodations, and complaint response
  • Track each next step until accepted, scheduled, confirmed, and closed

Transportation & Authorized Release Coordinator

Purpose

Ensure school pickup, caregiver drop-off, route departure, home drop-off, and authorized release happen through approved people, vehicles, rosters, routes, and documentation.

Minimum qualifications / readiness

  • Transportation operations experience
  • Driver/MVR/insurance/vehicle requirements as applicable
  • Youth protection, missing-youth, release, emergency, and incident training

Core duties

  • Maintain route, driver, vehicle, passenger, consent, emergency-contact, pickup, and drop-off records
  • Reconcile school pickup, site arrival, route departure, and final handoff
  • Prohibit unauthorized stops, riders, vehicle changes, and one-adult/one-youth transport except documented emergency
  • Escalate late pickup, missed youth, route delay, vehicle issue, or handoff concern immediately

Community Dinner & Food Service Liaison

Purpose

Coordinate a safe, dignified, reliable dinner partnership with The Open Table Cincy and Chef Curtis of Curtis Custom Cuisines.

Minimum qualifications / readiness

  • Food-service coordination competence
  • Allergy, sanitation, temperature, serving, emergency, and documentation training appropriate to assigned duties
  • Clear understanding that meal staff are not youth supervisors unless separately cleared

Core duties

  • Confirm menu, meal count, delivery, dietary needs, substitutions, equipment, serving, and cleanup
  • Complete temperature/safety and delivery checks required by the approved plan
  • Coordinate family/community dinners and age-appropriate culinary enrichment
  • Report food refusal, allergy, contamination, illness, injury, vendor, or sanitation concerns

Clinical Partner Liaison

Purpose

Create voluntary, parent-authorized, closed-loop access to Reach One Clinical Services or another appropriate provider without turning B.U.Y. into treatment.

Minimum qualifications / readiness

  • Appropriate clinical or care-coordination competence for assigned duties
  • HIPAA/privacy/ROI, crisis, scope, referral, documentation, and record-separation training
  • Written authority from the clinical partner

Core duties

  • Clarify when a concern exceeds youth-development scope
  • Coordinate immediate safety action and parent/guardian communication
  • Obtain appropriate consent/authorization and complete a warm handoff
  • Track accepted, scheduled, redirected, declined, unreachable, or blocked status without copying clinical details into the community record

Documentation, Quality & Outcomes Coordinator

Purpose

Make B.U.Y. auditable enough to learn, correct, protect, and tell the truth about its outcomes.

  • Quality, data, program evaluation, documentation, or compliance experience
  • Privacy and role-based-access competence
  • Ability to distinguish program measures from clinical assessment

Core duties

  • Reconcile attendance, homework, group, meal, transport, incidents, referrals, grievances, and release records
  • Monitor curriculum fidelity, staffing ratios, youth/caregiver feedback, outcome measures, and corrective actions
  • Produce weekly exceptions and monthly dashboard
  • Control claims so target, planned, active, and achieved results are not blended
